A Concierge member is a key member of the Legal Operations team supporting the Legal Department. Coordination with key internal and external stakeholders, escalating issues to direct manager in a timely manner, and providing regular progress reports to users will be critical. The Associate will work closely with employees across the department and locations including senior management. In this role the individual will cross-train with other team members to provide back up support, where needed. The ideal candidate will be a team player with demonstrated experience in legal operations, professional and seasoned client-facing skills and an innovative and process improvement mindset. Candidates for this role should be highly-motivated, self-starters with strong customer engagement skills. The candidate will work closely with all levels of staff across the Legal Department, so strong written and oral communication skills are a must. An understanding of banking operations and technology is preferred, but not mandatory.
As a Concierge Team member:
Act as the first line of support for requests involving Legal applications (iManage, Passport, Gold, etc) and Legal operations processes (Data Loss Protection, Legal Billing Unit, Outside Counsel processes, etc)
Partner with Legal Technology (Operate) and Product owners to manage application breaks and defects and conduct root cause analysis, as assigned
Address general inquiries on usage and “how tos” for covered Legal applications (iManage, Passport, Gold) and operational processes (Data Loss Protection, Legal Billing Unit, Outside Counsel processes), as escalated through Concierge ticket requests
Be a problem solver for Legal users requesting help with non-Legal specific and/or firmwide support questions
Work closely with Legal Product Management teams to develop and deliver recommended solutions to Legal users
Bachelor's or Associate’s degree in business, technology, communications, or equivalent work experience preferred.
1-2 years’ experience in an team environment
Strong communication skills in both Spanish and English required (English proficiency and skill testing may apply)
Prior system support, system implementation, or project management experience with document management, record retention, and legal matter management systems in a corporate law department or law firm (global presence a plus)
Experience in law firm, corporate law, corporate finance, or other professional services department
Strong ability to communicate effectively with all levels of employees and management
Proficiency/experience in Microsoft (including Word, Project, PowerPoint and Excel).
Knowledge of basic document management technology
Detail-oriented; adherence to the highest standards of accuracy and quality.
Ability to work independently with little supervision.
Strong time management skills and the ability to be flexible with work assignments.
