Position Overview:

The Accounts Payable Support Specialist IV supports the AP Operations Manager and staff to deliver objectives and meet SLAs. The ideal candidate will have experience balancing multiple tasks including calendar management, expense reporting as well as coordinating travel (domestic and international) including hotel, securing meeting spaces, and transportation.

Function Specific Activities:

  • Reconcile monthly purchasing card statement
  • Troubleshoot issues relating to outstanding business expense reports and invoices.
  • Maintain department-specific paper files (i.e., categorized, numeric) for easy access and retrieval.
  • Review expense reports and invoices for completeness and accuracy according to Company policies.
  • Identify, classify, maintain, and protect files, documentation and sensitive information consistent with record handling and retention requirements.
  • Respond to Company/Department-related requests for information in principal's absence.
  • Hand delivers time-sensitive documents.
  • Create and manage databases or data-based [programs (e.g., Lotus Notes Database) to ensure that information is current and available.
  • Develop administrative desk manual and train backup on procedures.
  • Coordinate internal meeting logistics (e.g., facilities, audio-visual requirements and food service, lodging if required)
  • Schedule domestic and international travel arrangement to include air, hotel and ground transportation.
  • Answer all incoming phone calls and handle or redirect as appropriate
  • Order office supplies and maintain inventory to ensure availability of resources.
  • Create, edit and update division/department specific forms and templates.
  • Troubleshoot day-to-day issues (e.g., equipment service issues, missing passport and computer problems) in order to promote the smooth, efficient operations of the department.
  • Enter invoiced amount into SAP to confirm that services have been received.   
  • Instruct department personnel on the use of job-specific databases and computer tools (i.e., Lotus Notes) to access shares resources.
  • Discuss operating expenses (e.g., actual, outstanding, projected) with Manager to ensure most efficient allocation of financial resources.
  • Organize department property (e.g., office supplies, files and equipment) for moves and/or reorganizations.

Requirements: 

  • Fluent in English language
  • Additional language preferred: French
  • Work location: Buenos Aires
  • Available to work in a full time job
